    The Ancillary Benefits Compliance Specialist is responsible for maintaining a high level of client satisfaction through their knowledge and expertise in the management of specific ancillary benefits including COBRA, FSA, HRA and HSA’s.

    Responsibilities

    The following represents a list of essential duties and responsibilities; other duties may be assigned as required:

    • Acts as the main point of contact for HR Knowledge internal employees and external clients for the accounts of:
      • COBRA
      • Flexible Spending Accounts (Healthcare, Dependent care, Transportation, Parking
      • Health Reimbursement Arrangements (HRA)
      • Health Savings Accounts (HSA)
      • HIPAA, Medicare Part D & PCORI
      • ERISA Compliance
      • FMLA Matters
    • Works with Accounting Manager to ensure all billing is setup correctly for ancillary benefits and works with Client Account Managers (CAMS) to setup or adjust any billing items
    • Coordinates with the CAMS regarding client benefits that include open enrollments, renewals, changes, and terminations for all ancillary products
    • Works with outside vendors to process new application submissions, renewals, and plan design changes
    • Works with outside vendors to ensure all Summary Plan Descriptions, HRA Funding or Finalization reports are sent to the client, SPD’s are uploaded to the client ADP portals
    • Responds to external client employee questions regarding benefits and claims
    • Utilizes vendor relationships to help resolve any employee issues for both internal employees and external clients
    • Follows internal procedures for record-keeping of pertinent paperwork related to ancillary benefits and documents the process
    • Performs new client kick-off calls with all benefit vendors including the CAMS and/or Client as required
    • Prepares annual Non-Discrimination Testing for all FSA account clients
    • Updates COBRA rate changes on carrier websites
    • Creates employee data spreadsheets for new HRA clients
    • Collects information for the termed employees of our clients and for new COBRA clients, creates and uploads employee data spreadsheets for new COBRA clients
    • Provides Benefit Administration support to Broker Only clients
    • Manages the Benefit Support email box and provides timely response to inquiries
    • Manages the TASC email box and provides timely response to inquiries
    • Conducts open enrollment meetings as required to meet client needs
    • Prepares Open enrollment timelines, Open enrollment memos and PowerPoints
    • Maintains the agency management system with current clients and benefit offerings
    • Creates and maintains Benefit FAQ email templates
    • Updates client documents with new Federal limits at the beginning of the calendar year and works to update benefit compliance calendars
    • Maintain regular and punctual attendance

    Other Duties and Responsibilities

    • Develops relationships with outside benefit vendors
    • Prepares topics for client advisories relating to all ancillary benefits and coordinates with the Marketing team
    • Maintain a good working relationship with insurance carriers and other outside representatives to ensure excellent communications and assistance with plan administration
    • Maintain awareness of market conditions, changes, and current legislation
    • Provides training as a subject-matter-expert to other Client Services team members on various topics
    • Continues to educate oneself on new aspects and areas of compliance in payroll, benefits and human resources as the opportunity arises
    • Work on special projects for clients if needed

    Qualifications

    • At least 5 years of previous Ancillary Benefits experience
    • Experience with ADP Workforce Now, and HRB is highly preferred, but not required
    • Knowledge of Microsoft Office, particularly Excel, PowerPoint and Word
    • Excellent organizational skills, a keen attention to detail, strong administrative and analytical skills.
    • Reliable with a high degree of confidentiality and integrity
    • Strong analytical skills and problem solving
    • Thrives in a fast-paced environment and can adapt at prioritizing responsibilities and tasks to effectively meet deadlines
    • Personable, a good listener and can effectively communicate with all staff and client types through both written and verbal means

    • Willing and flexible to help with any urgent issues that happen to arise at the company, even if they are outside the immediate scope of the role
