    The Benefits Implementation Project Manager will support the benefits and implementation team and assist with bringing new clients onto our integrated HR Services platform. This role will work closely with the Implementation Team Leads, as well as the client, to ensure scheduling and all required data and documentation are completed in a timely manner; meeting established deadlines and guaranteeing a smooth transition to the Client Services Team. This role will require a high attention of detail, strong organization, a solutions-driven mindset and the ability to oversee a number of moving parts from both a high-level and granular level occurring simultaneously.

    Responsibilities

    • Ensure client satisfaction and retention through timely solution delivery within our project implementation timelines
    • Routinely interact/collaborate with HRK Implementation and Benefits Team in a helpful and productive manner
    • Assist the Benefit Technology to implement HRK’s full service and/or standalone solutions by adhering to HRK guidelines, and in accordance with client expectations and agreed upon Statement of Work.
    • Work with Benefit Technology Team to learn the implementation process for benefits with the goal of gaining enough knowledge to have the ability to build and understand basic plan designs
    • Responsible for creating and maintaining project plans in Asana
    • Exchange routine information with members of client implementation team, including priorities, timeliness and issues as they arise and keep all conversations, timelines and project plans up to date in Asana
    • Maintains internal and external communication with team members and clients, ensuring tasks, deadlines and timelines are clearly communicated
    • Attends all new client Welcome Calls and Internal Client Launches as well as weekly Implementation and Benefit Team Meetings
    • Works closely with the Payroll Implementation Lead to ensure that all projects are running on schedule and that Project Coordinator is kept in the loop of all progress or outstanding requests or tasks are being tackled
    • Collaborates with HR Implementation Lead to run the Electronic Onboarding walkthroughs and make necessary portal updates and changes discussed during that walk-throug
    • Work closely with the Implementation Team Leads, as well as the client, to ensure scheduling and all required data and documentation are completed in a timely manner; meeting established deadlines and guaranteeing a smooth transition to the Client Services Team
    • Works closely with the Project Coordinator to ensure that all implementation master calendars are up to date and monitors all aspects of implementation project plans
    • Reviews deliverables for intent and accuracy before delivering to client
    • Revises and updates project plans and documentation to meet changing requirements, timelines and completed tasks
    • Coordinates with Payroll Implementation Specialist(s) regarding client benefits including items such as open enrollments, renewals, changes, and terminations for medical, dental, life, disability, 401k, and more
    • Reviews benefits calculation documents and benefit-at-a-glance documents to ensure accuracy of information and no grammatical errors prior to the documents being sent to client before they are delivered to new client
    • Responsible for project management and coordination of open enrollment meetings and upcoming benefit renewals for new clients and working with Benefit Analyst to ensure that client/employee communication materials and presentations for prepared for broker
    • Checks in weekly with team and clients to communicate status of project plan, schedule and tasks
    • Provides interface to clients and works with team to respond to requests for information and works collaboratively to resolve issues
    • Mediates for team members and clients to ensure projects are completed to the absolute satisfaction of our clients.
    • Identifies opportunities for process improvements and conducts on going analysis of workflows
    • Ensures standards are adhered to on all implementation projects
    • Ensures all project plans are updated prior to implementation weekly status meetings
    • Maintain regular and punctual attendance

    Qualifications

    • To perform this job successfully, an individual must be willing and able to perform each essential responsibility satisfactorily.
    • At least 1 to 2 years of previous project coordination experience, preferably in payroll and/or benefits implementation
    • Strong presentation skills
    • Strong ability with Microsoft Office, particularly Outlook, Excel, PowerPoint and Word
    • Knowledge of Sharefile and Smartsheet a plus
    • Knowledge of ADP WFN preferred
    • Equivalent releveant experience
    • Excellent organizational skills, a keen attention to detail, strong administrative and analytical skills.

    • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
