    Our client, Veloxint Corporation, a dynamic early-stage Boston-area materials start-up, is commercializing new technology developed at MIT in the Department of Materials Science and Engineering. Veloxint is seeking a talented, dedicated professional to join its team as an Office Manager.


    The Office Manager will ensure the efficient and smooth day-to-day operation of our office and will be expected to perform a variety of accounting and administrative support duties.  The ideal candidate will be flexible with a broad set of competencies, have excellent oral and written communication skills and be very organized in their approach to their work.  This role requires a seasoned professional who must possess positive energy, meticulous attention-to-detail, and thrive in a fast-paced environment.  


    • Provide corporate accounting and finance support
    • Support purchasing for office and laboratory supplies and equipment, office supplies, etc.
    • Oversee reception, including greeting guests, handling incoming and outgoing mail, answering and directing phone calls, preparing facilities for meetings, planning and organizing company functions
    • Assist in making travel arrangements as required
    • Update and maintain office policies and procedures
    • Develop and maintain physical and electronic filing systems for corporate documents and contacts
    • Assist in the preparation of proposals and reports, including formatting, editing, and submission
    • Act as the central point of contact at the company for internal and external clients
    • Handle corporate and HR confidential information with impeccable care
    • Prepare for new employees, including setting up office space, preparing paperwork and conducting orientation
    • Responsible for day-today upkeep of the office, including keeping the kitchen clean and stocked, organizing storage and maintaining equipment
    • Maintain confidentiality of sensitive corporate information


    • Minimum of 5 years of executive and/or office management experience is required
    • Bachelor’s degree is preferable
    • Knowledge of accounting systems, especially cloud based
    • Knowledge and experience in office management systems and procedures
    • Ability to manage complex projects, including but not limited to planning and executing a full move to a new office location
    • Flexibility to adapt to a quickly changing and growing organization
    • Excellent analytical, computational, time/task management, interpersonal communications and writing skills, along with the ability to multi-task and prioritize work
    • Outstanding grasp of team dynamics and the ability to give valuable advice and feedback both up and down the chain of command
    • Strong customer service skills and sense of confidentiality
    • Close attention to detail, with a flexible problem-solving mindset
    • Hands-on, friendly personality with a proven ability to work effectively in a team-oriented environment essential
    • Desire to be part of a growing, fast-paced company
    • Working knowledge of office equipment such as printers, copiers and fax machines
    • Proficiency in MS Office (Word, Excel, PowerPoint), internet search, and social media tools
    • Self-starter, ability to work independently, manage and drive workload to completion with a sense of urgency is required
