Bigelow Cooperative Daycare Center is a NAEYC-accredited, nonprofit preschool and early learning program located in Somerville, MA. The center serves children between the ages of 3 months and 5 years. Our curriculum is inspired by the Reggio Emilia philosophy and features a nurturing, play-based approach to early childhood education. As a cooperative, our school benefits from both an outstanding cadre of teachers as well as the full commitment of our dedicated families in all aspects of the Bigelow experience. 


We are looking to add an outgoing, experienced Administrative Assistant to help with the day to day operations of the center.  You will work collaboratively with the Director and teaching staff to provide a positive and nurturing experience for our students and families.  The ideal candidate will have exemplary communication skills, a high attention to detail and confidentiality and a background or interest in early childhood education.


  • Receive and screen all incoming phone calls and connect them to appropriate personnel; greet all incoming visitors
  • Provide clerical and administrative support to staff
  • Coordinate staff and parent volunteer scheduling; assisting in finding substitutes for their absences
  • Oversee staff time sheets, vacation and sick day records
  • Assist in meeting the MA Department of Early Education and Care licensing requirements and NAEYC accreditation requirements
  • Ensure center’s building, health, and fire procedures are to code
  • Update center’s policies, Parent Handbook, admissions materials and other notices as needed
  • Maintain accurate records for staff, substitutes and students
  • Assist with bookkeeping functions as needed; invoicing, reconciliation, deposits
  • Assist Director in scheduling and conducting parent tours of the center
  • Prepare parent orientation material for the upcoming school year
  • Oversee and care for sick children that are awaiting pick up
  • Monitoring inventories and ordering office supplies, arts and crafts and other classroom supplies, first aid supplies, and snacks.
  • Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Other duties as assigned


  • At least 2-3 years of administrative experience
  • Early Child Development knowledge and/or experience a plus
  • National Association for the Education of Young Children (NAEYC) accreditation is a plus
  • Familiarity with Dept. of Early Education & Care regulations and the Quality Rating and Improvement System (QRIS) is a plus
  • Possesses strong administrative skills, excellent organizational skills, and a keen attention to detail
  • Prior bookkeeping and accounting experience a plus
  • Self-starter who is able to take initiative to drive results with minimal supervision
  • The ability to interact with staff in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality
  • Solid written and verbal communication skills
  • Proficiency with Microsoft Word and Excel
  • Quickbooks knowledge and experience a plus
  • Experience with Filemaker Pro and/or Procare software preferred
